1. Core Data & Privacy Framework
- PIPEDA — governs collection, use, and disclosure of personal information in commercial activities; we publish a clear Privacy Policy stating what is collected and why
- Provincial equivalents — Alberta PIPA, British Columbia PIPA, and Quebec Law 25 may apply or inform practices; Law 25-aligned practice includes publishing the contact of the person responsible for personal information protection
- CASL — affirmative opt-in for commercial electronic messages; unsubscribe must be clear and functional
2. Categories of Data
Contact & inquiry data
Name, email, phone, and messages you send. Used to respond and schedule services.
Service & case-related data
Information for mediation, legal support, or notary services. Used to deliver the service and meet professional obligations.
Website technical data
Device/browser info, general usage, and preference storage (disclaimer, cookie choices). Essential storage may run without marketing consent; analytics/tracking only with opt-in.
Marketing preference data (CASL)
Whether you opted in to newsletters or promotional emails, and unsubscribe status.
3. How We Use Data
- Service delivery — inquiries, mediation, documents, follow-up
- Operations — scheduling, billing (if applicable), administration
- Compliance — PIPEDA, CASL, professional records, legal duties
- Site improvement — only with analytics consent where non-essential cookies are used
- Security — protect systems and prevent abuse
- Commercial electronic messages — only with CASL-compliant consent
We do not sell personal data.
4. Cookie Banner & Consent Choices
Before non-essential tracking cookies or similar technologies are used, we present a cookie banner with clear options:
- Accept all — opt in to non-essential cookies (e.g., analytics/marketing if enabled)
- Reject non-essential — opt out; only essential cookies/storage continue
Essential cookies/storage support security, load balancing (if any), disclaimer acknowledgment, and remembering your cookie choice. You can reset choices by clearing browser site data.
5. CASL — Emails & Newsletters
- Promotional emails or newsletters require affirmative opt-in (not pre-checked boxes)
- Messages identify AHANSA and include contact information
- Every commercial electronic message includes a working unsubscribe
- Service/transactional messages may be sent when permitted by CASL without separate marketing consent
6. Who Can Access Data
- AHANSA personnel with a need to know
- Service providers (hosting, email) under safeguards
- Parties you authorize
- Authorities when required by law
7. Storage & Cross-Border Transfers
Data may be processed in Canada or other jurisdictions via service providers. Where personal information is transferred outside Canada, we take reasonable contractual and organizational steps consistent with applicable law.
8. Retention & Deletion
We retain data only as long as needed for stated purposes and professional/legal retention. When no longer required, we delete or anonymize where reasonably possible.
